Colville Chamber of Commerce Administrative Assistant

$16.28 an hour

- Part-time 18 - 20 hours per week

Benefits

-    1 hr. PTO for 40 hours worked after 3-month trial period. Paid holidays on scheduled workdays.

Receives Work Direction from: Business Manager

Part Time Hours: Monday - Friday 9:00 am to 4:00 p.m. Closed for lunch 12:00pm to 1:00pm (24hrs weekly, maximum 100 hours per month).

Will be asked to attend Board Meetings and other required events outside of office hours.

 

Description of Responsibilities:

The Colville Chamber of Commerce and Visitor Center is in search of a detail-oriented individual to join our team as an administrative assistant.  We require excellent organizational and clerical skills, friendly manner, good communication skills, strong telephone etiquette, and excellent computer skills.

 

 

Administrative Assistant Responsibilities:

Update and maintain membership materials and correspondence

Answer and direct calls, take messages, and make phone calls on behalf of the chamber. Assist the public, answer, and direct phone calls and emails, and provide routine information

Quickbooks experience preferred in accounts payable/receivable, invoice entry, pay checks and record bills.  Maintain accuracy of financial transactions, receipts, and deposit reports in accordance with state, federal, and program guidelines. Prepare paperwork for tax filing in coordination with Business Manager.

Update the website, data entry, enter content and customer information with images.

Input social media updates and monitor notifications.

Sort and distribute the daily mail, send out bills, and arrange pickups for packages.

Use office equipment to check emails, send faxes, make copies, and data entry.

Type forms, correspondence, memos, and other materials.

Complete weekly newsletter according to established guidelines.

Sort, file, and maintain filing systems for efficient record keeping and easy retrieval.

Maintain inventory on office supplies, tourism brochures, membership materials

Complete assignments and projects according to instructions from business manager.

Oversee and assist volunteers, office temps, or part-time students.

Assist at monthly board meetings, prepare board packets, board information and agenda in coordination with the Business Manager

Other duties as assigned to support the chamber.

 

Administrative Assistant Requirements:

High school diploma or GED.

Completion of an administrative course may be advantageous.

A minimum of 1 year office experience would be preferred.

Competency with computers, physical and digital filing systems, and typing.

Strong written and verbal communication, interpersonal, and math skills.

Good problem-solving skills.

Professionalism, discretion, and the ability to work with minimal supervision.

Qualifications:

Education

· Minimum of 1 year of applicable experience in an administrative position.

Preferred

· Computer literacy; proficiency in QuickBooks, Word, Excel, Outlook, PowerPoint, Facebook & other Social Media platforms, data entry and knowledge of website maintenance and updating.  Required Certifications and Licensure:

· Valid Washington State driver's license and current auto insurance.
